My sister and I live miles apart, and sharing a calendar keeps us connected through our daily busyness. I know when she’s in a meeting or free. Plus, we have so much more to talk about when we meet!

If you want to know how to share a Google calendar with family or colleagues, let’s get started!

Guide to share Google Calendar

Here’s the lowdown on how to share a Google calendar.

Share With Selected Contacts

When sharing a calendar, how much is too much? Granting full access to users allows them to create, edit and delete events in your calendar. They can also share events with others.

If your Google account is part of your organization’s workspace, you might not be able to share calendars.

Steps

  1. Go to calendar.google.com.
  2. Locate My calendars near the bottom left and click the down arrow to display all your calendars.
  3. Hover over the calendar to share and click on the vertical dots ⋮ next to its name. You’ll see a popup.
  4. Select the Settings and sharing option. The Settings page will display.

Google Calendar Settings and Sharing

  1. Go to Share with specific people and groups and select Add people and groups.

Google Calendar Permission Settings

  1. Add the email addresses of the persons with whom you want to share your calendar and assign permissions. Here’s a list.
    • See only free/busy (hide details): Users can see when you’re free or busy but not the event name and other details.
    • See all event details: Users can view event details unless you mark an event as private.
    • Make changes to events: Users can view, add, modify and delete events, and subscribe to email alerts.
    • Make changes and manage sharing: Users have editing, modification and deletion rights and can subscribe to email alerts.
  2. Click Send.
  3. The recipients will get an email notification with a link to add the calendar (Add this calendar).

FAQs

Selecting the Desktop view on calendar.google.com takes you to the app by default. Uninstall the app first. Now, the Desktop view will show the down arrow.

  • Create a Google Group (if you have the permissions) and add the desired users. Share your calendar with the group email address. The recipients will receive email notifications with a link to add the calendar to their list.
  • Or create a distribution list.
  • Public sharing is another option but beware of the security risks.

Wrapping Up

Sharing your Google Calendar isn’t only about micromanaging people. It’s about making sure they know when you’re free or busy. It’s about valuing time and being mindful of how you spend it while making sure you don’t miss anything.

I had to do a factory reset on my android and now cannot see my husband’s calendar like I used to. I still see it on my computer’s calendar but not on the google calendar on my app. On the Calendar app, when I tap “Manage Calendars” his calendar is listed, but his events don’t show up on the app calendar. Any idea what I’m missing? Thank you SO much for any thoughts!

I don’t see any down arrows in the My Calendar section in Google Calendar on my phone.

    Hi Tom,

Here’s what you need to do.
    1. Uninstall the Google Calendar app on your phone, else it’ll automatically redirect you there. You can’t share a calendar from the mobile app.
    2. Go to calendar.google.com and sign in to your Google acccount. Your calendar will be displayed in mobile browser mode.
    3. Select Desktop at the bottom of the page. You’ll be redirected to the desktop view of the calendar. Follow the steps to share your calendar from the desktop. You’ll see the down arrow to expand your calendars.
    Hope it helps!

Same question as Don. I want to add a large list of people in a community group without having to add their email addresses one by one.

Thanks for this. Why is it that you can provide better answers than Google??
I think they should be paying you for but I appreciate your explanation and assistance.
    It worked like a charm.

Is there a way to share it to multiple users without having to put each email address in individually? I’d like to share a calendar to my building staff only, but not publicly, nor to the entire larger organization. Some people use google addresses within our organizational bubble, but some people use outlook.

When I do this I get a message. “Something has gone wrong. Please try again later,” and no email is sent.
If I close the calendar and reopen it, the share is not listed.
