As a bonus, you’ll also get two free online training sessions to help you get the most out of the system. Before we get into the details, let’s go over the system’s pros and cons. Pros: User-friendly interface. Allows the addition of up to 40 specifications to each item. Provides robust work order tracking functionality. Cons: It’s limited to managing up to 100 equipment pieces. Allows only one user at a time. Lacks a mobile app for field access. Let’s first talk about the system’s UI. The interface is well-organized, with clear sections for different modules like assets, work orders, purchase orders and inventory. While the design might not be the most modern, it was easy to find my way around and understand the various functions. ManWinWin Express’s user interface. The configuration process feels a bit like building with LEGOs. I started by creating a tree-like structure for my equipment, with categories like “HVAC” and subcategories like “Air Conditioners.” Adding and removing items can be done in a few clicks. Recording a new asset involves navigating through several menus (Configuration, Company, Plant, Item Types), which felt disjointed at first. However, I appreciated the ability to add detailed information for each item, including technical specifications, photos and even notes. The “Refresh List” option is handy for focusing on specific items, especially when dealing with large datasets. ManWinWin’s refresh list module. The traffic light system for work orders is a lifesaver. By default, upcoming tasks turn yellow, overdue ones turn red and your current tasks green. But you can set it up according to your needs. This quick visual cue can help you stay on top of things. Managing spare parts inventory is straightforward too. I organized everything into categories like “Electrical” and “Plumbing.” The system alerts you when items are running low. Scheduling and tracking preventive maintenance tasks was simple. While it doesn’t automate the scheduling process, I could easily set recurring tasks and configure alerts. The maintenance budget feature is comprehensive. You can create budgets, allocate funds and monitor spending throughout the year. However, the interface could be more user-friendly. For instance, allocating budgets to specific accounts and cost centers requires multiple steps. Create your maintenance budget with ManWinWin. The budget control feature, while useful, lacks visual clarity. A graph or chart displaying the budgeted versus actual expenses would be more helpful. On the plus side, the generated reports are very informative, clearly showing monthly spending and highlighting equipment needing the most attention. You can also create custom parameters and indicators. However, the reliance on formulas for manual parameters might be daunting for some users. One thing that really stood out to me was the ability to predict vehicle mileage in the Projections section — super handy for managing a fleet. Sadly, you won’t be able to integrate this free CMMS with other systems. Only the paid version lets you connect other solutions via APIs. Before we get more into it, let’s go over the system’s pros and cons. Pros: Automatically upgrades you to the premium version for free. Flexible work order creation. Robust asset management and preventive maintenance tools. Cons: AI procedure templates need improvement. Bulk data imports require support assistance. The workload view is limited to enterprise plans. The setup center guided me through the basics: creating my first work order, adding a new asset and inviting team members. The interface was so user-friendly that I felt like a pro, even as a first-timer. Creating a work order was a breeze. You can include lots of details: what needs fixing, where it is, how urgent it is and more. You can set due dates, make recurring orders and choose the type of work (like preventive or reactive). Even though the system walks you through creating your first work order, do yourself a favor and get your asset, parts and location list imported first to avoid disruptions. If you’re tech-savvy, you can create custom connections through API access. And if you just want to get notified when things happen in the system, webhooks have got your back. Pros: Allows you to track unique attributes of assets and inventory. Tailors navigation menus, dashboards, labels, email templates and more to your specific needs. Good asset management tools. Cons: Offers only a 15-day free trial The interface can feel crowded with too many options, making it difficult to find specific functions. The extensive customization options could be confusing. You can customize everything from item names to dashboard layout. For instance, you can change the term “Asset Identification Number” to “Serial Number” if that’s what your company uses. I could easily categorize items as assets (e.g., laptops, vehicles, machinery) or inventory (e.g., office supplies, tools). The system also allows you to create bundles of loosely associated items (think of a camera kit with a camera body, lens and accessories) and packages of tightly bound items (like a car and its components). Intuitive user interface and robust analytics. Effective preventive maintenance tools. Cons: Steep learning curve due to the breadth of features. Limited customization options for complex workflows. Pricing might be a barrier for smaller businesses. One of my favorite features is the system’s automation capabilities. The preventive maintenance triggers, which can be set based on calendars or meter readings can help reduce unexpected breakdowns. For instance, you can set a trigger that automatically creates a work order for your HVAC system every six months for routine maintenance. It also offers workflow automation, allowing you to create “if-this-then-that” rules to streamline repetitive tasks. Now, they do offer a free product tour to give you a taste of the software. It feels kinda like window shopping — you can see the features, but you can’t really interact with them. Before we get into more details, let’s check out the system’s pros and cons. Pros: Easy to navigate, even for those who aren’t tech-savvy. Comprehensive asset management. Mobile access. Cons: Advanced features like reporting and analytics are only available in paid plans. Some modules can be a bit sluggish compared to other CMMS systems. Creating asset hierarchies and user permissions can be a bit time-consuming. Once you’re in, you’ll find that Fiix has a pretty user-friendly interface. It’s easy to navigate, even if you’re not a tech whiz. One thing I really liked about the system is that it’s got these little video tutorials tucked away in every corner. So, if you get stuck or need a refresher, just click the video help button and you’re good to go. The asset management module is where the system really shines.
